Legal
Privacy Policy
This policy explains how SiteAccord handles personal information collected through this website and through business enquiries and correspondence. SiteAccord handles personal information in accordance with applicable Australian privacy requirements.
Who this policy relates to
This policy applies to the SiteAccord website and to personal information provided to us in the course of business enquiries about our managed operations and managed compliance services for unmanned petroleum retail networks. SiteAccord is a trading name; where a legal entity name is required, it will be provided in the relevant service documentation.
Information we may collect
- Name and role or title
- Work email address
- Company or network name, and the approximate number of sites you operate
- The content of your enquiry and any subsequent correspondence with us
- Standard technical and server log information generated when you visit the website, such as IP address, browser and device information, requested pages and timestamps
We do not ask for sensitive information through this website. Please do not submit sensitive personal information, credentials or confidential operational data through the enquiry form.
How we collect it
- Directly from you, when you complete the enquiry form on this website
- Directly from you, when you email or otherwise correspond with us
- Automatically, through ordinary website and server logs generated by our hosting infrastructure
Why we collect and use it
- To respond to your enquiry and continue the resulting conversation
- To assess whether we are able to support your network and to scope a potential engagement
- To maintain ordinary business communications and records
- To operate, secure and maintain the website, and to detect and prevent misuse or abuse
- For legitimate internal administrative purposes connected to the above
We do not sell personal information, and we do not use enquiry details for unrelated marketing.
Disclosure
We disclose personal information only to the service providers we use to operate this website and to deliver and store our business correspondence, and where disclosure is required or authorised by law. In the ordinary course this means our website hosting provider, our transactional email provider (used to deliver enquiry form submissions to our enquiries inbox) and our business email provider. We do not disclose enquiry information to third parties for their own marketing purposes.
Overseas processing and storage
Our website hosting and email delivery providers operate global infrastructure, so personal information may be processed or stored outside Australia depending on how those services route and store data. We cannot guarantee a specific processing location. We take reasonable steps to use reputable providers that apply appropriate protections to the information they handle on our behalf.
Embedded video and third-party content
The homepage includes a video hosted and embedded by Vimeo. When that video loads or is played, your browser communicates directly with Vimeo and Vimeo may receive technical information such as your IP address, device and browser details, and may set cookies or use similar technologies. That processing is governed by Vimeo's own terms and privacy practices, not by this policy. The embed is configured with Vimeo's Do Not Track option enabled so Vimeo does not track viewers for advertising purposes.
Cookies and analytics
We do not run analytics, advertising or tracking tools on this website, and we do not set our own tracking cookies. The only cookies or similar technologies that may be set are those used by the embedded Vimeo player described above, and any strictly technical cookies required by our hosting infrastructure to serve the site. Because we do not operate non-essential tracking, this website does not present a cookie consent banner. You can block or delete cookies through your browser settings.
Security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, including transport encryption for the website and enquiry submissions, restricted access to our enquiries inbox, and server-side handling of credentials so they are never exposed in the browser. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Retention
Enquiry submissions are delivered to our enquiries inbox by email. We do not maintain a separate website database of contact form submissions. We retain enquiry correspondence only for as long as reasonably required for the enquiry, the resulting business relationship, and our record-keeping and legal purposes, after which it is deleted or allowed to lapse in the ordinary course.
Access, correction and complaints
You may ask us for access to the personal information we hold about you, or ask us to correct it, by emailing enquiries@siteaccord.com.au. We will respond within a reasonable period. If you are concerned about how we have handled your personal information, contact us at the same address, describing the issue, and we will investigate and respond. If you are not satisfied with our response, you may raise the matter with the relevant privacy oversight body in your jurisdiction.
Changes to this policy
We may update this policy from time to time to reflect changes to our practices or to the website. The current version is always published on this page.
